Placing your Order
Pricing reflects typical laser engraving times for most designs. Complex designs may be subject to additional charges. Personalization, alternative decoration methods, and other customization charges are itemized on quotations. Orders may be subject to packaging and handling fees.
All prices are in CDN Dollars for projects originating in Canada. All prices are in US Dollars for projects originating in any jurisdiction other than Canada. Orders are F.O.B. Markham, ON, and valid as denoted on the Crystal Sensations Price Lists. While Crystal Sensations will strive to maintain pricing as shown, pricing may be adjusted from time to time due to currency exchange rate fluctuations. Current pricing may be verified by contacting Crystal Sensations directly.
While Crystal Sensations endeavors to maintain the accuracy of pricing on various industry search engines/product portals, industry distributors are advised to check pricing directly with Crystal Sensations prior to quoting clients if they are using such industry search engines.
Order quantities may be increased at any time before or during the production of the order. Orders for additional quantities received within two weeks of the initial order being delivered will be billed at the original order price. Orders for additional quantities received after two weeks of the initial order being delivered will be billed at the applicable quantity price.
Order quantities may be reduced at any time before production of the order. All changes in order quantities must be made in writing and acknowledged by Crystal Sensations before the change is made effective. If order size is reduced after production has commenced, any quantities produced beyond those desired are at the cost of the customer. Pricing will be adjusted to reflect the new final order quantity.
Crystal Sensations will make every effort to produce your order in the desired time frame without a rush charge. However, rush order charges may apply in situations where Crystal Sensations are asked to meet extremely tight deadlines, and where previous customer commitments, or inventory status necessitate such charges. You will be informed of any rush charges on your project during the quotation process, and prior to Crystal Sensations taking action to produce and ship the item(s).
Laser Engraving – The standard set-up charge for laser engraving is $167 (R). A repeat set-up charge for laser engraving is $100 (R). Set-up charges double on less than minimum quantity orders for laser engraving.
Surface Etching – The standard set-up charge for surface etching is $100 (R). Set-up charges double on less than minimum quantity orders for surface etching.
Micro Resolution – The standard set-up charge for the Micro Resolution process is $125 (R). Set-up charges may double on less than minimum quantity orders for Micro Resolution printing.
Please speak with your sales representative regarding minimums for any of the decoration methods, as well as repeat set-up charges.
Custom design fees for 2D/3D image creation are charged on a per project basis, factoring in the complexity of design work required. Contact Customer Service to obtain a quote.
Copy changes may incur a charge. Any personalization details, including names, titles, dates, etc. must be provided in Microsoft Word, Microsoft Excel, Adobe Illustrator, or a compatible text document file.
Prior to production, corrections may be subject to additional charges. If corrections are requested after production of the affected pieces, full original order production charges apply.
All orders and cancellations will be acknowledged in writing via email.
Cancelled orders are subject to all costs incurred up to the time of acknowledgement of cancellation. All cancellations must be made in writing via email and are not effective until acknowledged in writing.
Orders may be taken verbally, but are not effective until approved and acknowledged in writing. Quotes are to be provided and approved in writing only. Crystal Sensations does not provide verbal quotes.
Crystal Sensations’ liability for economic, property damage, or personal liability arising from the sale, shipment, storage, handling, or use of the goods, whether based on alleged negligence or otherwise, shall not exceed, in the aggregate, the amount paid by the customer for the goods causing such damage. In no event will Crystal Sensations or Totally Zing, Inc. be liable for any consequential damages including, without limitation, loss of revenues, profits, or business or other economic loss arising out of or in connection with the services provided.
Payment
All orders must be paid in full prior to shipping unless open account privileges have been established. Crystal Sensations can accept payments via Visa and Mastercard, E-Transfers, Wire Payments, and company checks.
Custom crystal and overseas orders require 50% payment at the time of order placement, followed by the balance when the product is received at Crystal Sensations. The shipping and any additional charges will be billed at time of project completion.
Orders for high quantity purchases of stock crystal require a deposit payment at the time of order placement, to be determined with your Crystal Sensations representative. The balance, plus shipping or additional charges will be billed at the time of project completion.
If an order is placed, but the timing of the production and delivery is greater than 1 month, 50% payment will be required at time of order placement. If the order is placed, but the timing of the production and delivery is greater than 2 months, full payment for the inventory will be required. Crystal Sensations will hold the inventory up to 4 months from time of order placement, after which time storage fees may apply. The balance, plus shipping or additional charges will be billed at time of project completion.
Products
While every effort is made to maintain all items in inventory, Crystal Sensations cannot be held responsible if any item is unavailable. The shapes and specifications listed reflect the crystal inventory.
All sizes, capacities, dimensions, etching sizes and weights shown and quoted are approximate and there may be some fluctuation. Crystal Sensations can produce custom size crystal for specific design requirements. Please contact Customer Service for pricing and delivery information.

Defects in material and workmanship will be corrected without charge. However, please be aware that even in the finest crystal, minor variations in clarity and color can occur. Occasional air bubbles, chill marks or flow lines are inevitable, especially in molded or blown crystal products. In order to obtain the optimum finish, extra polishing may be necessary, which may cause variations in size. These minor variations in size, quality, color and clarity are NOT considered defects. Bases and other goods containing electrical or mechanical components are warranted for 30 days. Any defects must be reported within 30 days of delivery.

3D Subsurface Laser Engraving:
Crystal Sensations can work with almost any 3D file format. Contact your Crystal Sensations representative for specifics or assistance in exporting the optimal file for engraving requirements.
2D Subsurface Laser Engraving:
Photos and other bitmap art may be subsurface engraved. Formats accepted for this purpose include minimum resolution of 300 DPI or higher. .jpeg/.jpg or native Photoshop files (.psd), with minimal compression artifacts. Other acceptable file formats are: .bmp, .cdr, .eps, .gif, .iff, .pcd, .pdf, .pic, .png, .ppt, .tiff (.tif). If you would like to use a photograph as a source image, please ensure that your photograph is exactly as you would like it to appear.
If your artwork will not result in an acceptable product, your Crystal Sensations representative will contact you to discuss alternatives.
All original artwork furnished on physical media will be returned upon request at the expense of the client.
Use of factory provided “stock art” may reduce design charges. Should the purchase of commercially available artwork be necessary, this will be quoted on a case-by-case basis.
For stock crystal shapes the exact quantity ordered will be the exact quantity shipped. For custom crystal shapes please allow for a variance of up to 5%.
Standard packaging for crystal products are individual blue gift boxes with blue satin lining inside. Some shapes require a die cut foam inside for added protection – typically the foam is in a charcoal grey color. All gift boxes are individually sleeved. Please note that some variation in box color can occur from time to time.
Normal production time is seven to ten business days from final approval of artwork. Some custom or complex projects may require longer production time from artwork approval. Specific shipping date(s) will be provided with Order Confirmation at the time of order and may vary depending on quantities and inventory status.
Proofs are sent via email (PDF). Adjustments may be made to the production/shipping schedule if artwork approvals are not received within 24 hours.
Standard packaging is indicated on every item produced. Most items can be re-boxed to suit custom packaging requirements. Re-boxing will be subject to additional charges based on packaging requirements. Please contact Crystal Sensations to determine specific costs.
All trademarks or logos shown on the Crystal Sensations catalog or website are for illustration purposes only. Artwork submitted to Crystal Sensations is assumed to be in compliance with all applicable laws governing trademarks and copyrights. Responsibility for such compliance rests with the customer. Logos, pictures and trademarks displayed by Crystal Sensations have been reproduced only as examples of projects. They are not presented for resale nor are they to be construed as product or brand name endorsements.
Shipping
Prices listed for product do not include shipping. Delivery is by UPS ground transportation unless otherwise specified in writing by the customer. Ship date refers to the date the item is available for shipping from Crystal Sensations. If air freight is required to meet a specific delivery date, please advise in writing with order placement. Crystal Sensations assumes no responsibility or liability for carrier delays. Signature will be required on all deliveries unless requested otherwise and is done so at the risk of the receiver.
Crystal Sensations will ship all courier orders via UPS Ground service. Other UPS services are available upon customer request. Please contact Customer Service for service availability and specifics. All shipments are FOB Crystal Sensations dock in Markham, ON. Freight is charged on all orders where Crystal Sensations carrier account is used.
UPS is Crystal Sensations’ preferred courier for all orders. Other carrier services may be arranged upon customer request. There may be an additional pickup charge applicable for FedEx or other courier providers. Any pickup charges will be charged to the customer, and the customer bears all responsibility for loss, damage and/or the requested carrier’s failure to meet their service commitments. Please note that all shipments require a signature, and any arrangement between the courier and the customer to deliver without a signature is done so strictly at the risk of the receiver.
All orders shipped to countries other than Canada and the United States may be subject to additional fees, including duties, brokerage fees and taxes. Any fees, anticipated or unanticipated, levied after shipment are solely the responsibility of the customer and/or the importer. Fees can be charged back many months after delivery, per international law. It can take months for foreign brokers to bill Crystal Sensations and its shipping agents.
If requested, Crystal Sensations can ship via 3rd party UPS accounts. With the UPS account number, the customer also must provide the billing address associated with the account. See Carrier Type for additional information on alternative couriers. There is a processing fee for 3rd party shipping, with a per carton fee. The number of cartons can be estimated at time of order, but the final number of cartons used will be added to the invoice at time of shipping. If any 3rd party courier delivery or invoice is refused and billed back to Crystal Sensations, a change of $83.33 (R) per transaction will be billed on and above the cost of the shipping expense.
Shipments to multiple addresses will have additional drop shipping charges. Individual shipments will be charged based on their freight cost, plus a packaging and handling fee per location. A shipping list as an Excel spreadsheet should be provided at the time of order. Crystal Sensations will provide a template for the addresses. While Crystal Sensations will make every attempt to detect and correct invalid addresses, Crystal Sensations cannot be responsible for the accuracy of addresses provided by the customer. Additional charges for processing returned shipments will apply.
Shipments that are oversized or significant in weight (typically above 150lbs) are recommended to ship by LTL ground freight. The order will be packed on a pallet and shrink-wrapped for maximum protection. If LTL ground freight is requested by the customer or recommended by Crystal Sensations, the customer will need to provide delivery details:
- Loading dock available at truck height (if loading entrance is at ground height, a liftgate/tailgate would be required)
- Equipment to receive the delivery (i.e. have a forklift or pallet jack to move the shipment)
- Personnel to bring in the shipment from the dock, or will the driver be required to transport the shipment to a specific location in the building
- Can the parking lot accommodate a 53’ standard freight truck, or will a smaller vehicle be required
- What are the delivery hours, and is a delivery appointment required
Pricing is determined on a per project basis.
Once your order has been shipped, you will receive an email from Crystal Sensations with the carrier’s shipment tracking numbers. Shipment progress may be checked using the carrier’s online system.
Each item will be carefully packed prior to shipment. However, due to the fragile nature of the products, damage may occur during shipping. All claims for damages must first be made with the carrier. If Crystal Sensations had provided shipping, Crystal Sensations will process claims on your behalf, and will credit your account when the carrier credits us. The customer MUST retain all packaging materials and items for inspection by the carrier, DO NOT discard any part of the shipment. Photographs must be provided to Crystal Sensations. You must notify Crystal Sensations within 48 hours of damaged goods.
Engraved product is not returnable or refunded, except as described in Product Quality and Guarantee. No return shipments will be accepted without prior approval or beyond 30 days from receipt of goods. Non-engraved product in new and resalable condition may be returned for a full refund (less a 15% restocking fee and all shipping costs).
Samples
Random samples (excluding V-grooves, and “large and super-size” crystals) may be available without charge. Random sample pricing does not include shipping.
Spec samples are billed at EQP plus applicable design, set up and shipping charges. Spec samples are not returnable.
Pre-Production samples are the same as spec samples based on a larger production order.
Random samples returned to Crystal Sensations within the allotted loan period, undamaged and in original packing, will qualify for factory credit. A Return Authorization (RA#) is required and a copy of the return authorization must be included with the returned goods. The customer shall pay the shipping costs of returned samples.
